1. The service

Easy Architecture provides professional planning drawings and the preparation, submission and management of householder planning applications for straightforward residential projects in England — principally straightforward home extensions and loft conversions.

The standard service is provided for a fixed professional fee of £695 plus the applicable local authority planning fee.

The £695 service is intended for projects that fall within the straightforward scope described on this website. Easy Architecture reserves the right to decline or re-quote projects that are materially more complex, unusually large, involve multiple separate applications, or otherwise fall outside that scope.

2. Initial consultation

The initial 15-minute consultation is free and is intended to understand your project, explain how the service works, and establish whether the proposed project is likely to be suitable for the Easy Architecture service.

The consultation does not constitute a guarantee that the project will ultimately be accepted by Easy Architecture, that a fixed fee will apply, or that planning permission will be granted.

3. Information provided by the client

You are responsible for providing accurate information, photographs, dimensions and any other information reasonably requested by Easy Architecture in order to prepare the planning drawings and application.

Where dimensions or other site information are supplied by you, or obtained from third-party sources such as estate agents' plans or previous builders' drawings, you remain responsible for confirming that the information is accurate and complete.

Easy Architecture will use reasonable professional care in preparing drawings and documents from the information you provide. Easy Architecture remains responsible for errors or omissions in its own drawings or documents.

You should carefully review and approve the drawings and key dimensions before the planning application is submitted. Easy Architecture will check critical dimensions with you before submission.

4. Planning drawings

The drawings and documents produced under the standard service are prepared for the purpose of obtaining planning permission. They are not intended to replace detailed Building Regulations drawings, structural engineering calculations, construction information or site setting-out information.

All dimensions and site conditions must be checked on site by you or your contractor before any construction or fabrication begins. Planning drawings should not be used to build from without proper verification.

5. Planning application and approval

The £695 fee includes preparation and submission of the agreed planning application and reasonable communication with the local planning authority during the planning process.

The local authority planning fee is set by government, is separate from the £695 professional fee, and is not included in it.

Easy Architecture does not guarantee planning permission or any particular planning outcome. Easy Architecture will assess the proposal against relevant planning guidance and, where applicable, permitted development requirements, and will use reasonable professional care in preparing the application. The final decision rests with the local planning authority.

6. Council requests and unexpected requirements

If the local planning authority requests clarification or minor amendments that can reasonably be dealt with as part of the agreed service, Easy Architecture may deal with these without additional charge at its discretion.

Where the planning authority requires substantial redesign, significant additional drawings, specialist reports, surveys or other professional services outside the agreed scope, additional charges may apply. Easy Architecture will discuss this with you before any extra work is carried out.

You are responsible for the cost of any third-party specialist reports or services where these are required.

If Easy Architecture has omitted a document or information that it was responsible for providing as part of the agreed service, it will correct that omission without charging you for the correction.

7. Client changes and additional work

The £695 fee covers the agreed project and reasonable amendments associated with that project.

Minor amendments may be carried out without additional charge where they can reasonably be accommodated within the agreed service.

Substantial amendments, repeated design changes, significant additional CAD work or changes that materially alter the nature or scope of the project may be charged at £50 per hour. Any such work will be discussed and agreed with you in advance.

If you change to a fundamentally different project after work has commenced, Easy Architecture may provide a new quotation rather than continuing under the original fee.

8. Structural engineering and other professional services

Structural engineering, structural calculations, Building Regulations drawings, detailed construction information, specialist surveys and reports are not included in the standard £695 planning service unless expressly stated otherwise in writing.

Where structural engineering is required, it will be undertaken by an appropriately qualified structural engineer. Easy Architecture does not provide structural calculations or certify structural adequacy.

9. Site surveys

The standard streamlined service is designed to avoid the need for a full Easy Architecture measured building survey where the project and the information available make this appropriate.

Where a site survey, measured survey or additional site visit is required or requested, this can be quoted separately.

10. Payment

The £695 professional fee is payable before the planning application is submitted, unless otherwise agreed in writing.

The planning application will be submitted once the agreed drawings and documents have been completed, you have reviewed and approved them, and any required payment has been received.

Any applicable local authority planning fee should preferably be paid directly by you to the relevant authority where practical.

11. Cancellation and refunds

If you cancel before any work has commenced, any fee already paid will be refunded in full.

If you cancel after work has commenced but before the application is submitted, Easy Architecture will charge £90 per hour for the work carried out up to that point.

If the application has already been prepared or submitted, no refund of the professional fee will normally be due.

Nothing in this section affects any statutory consumer rights you may have.

12. Copyright and use of drawings

Drawings and documents produced by Easy Architecture remain its intellectual property unless otherwise agreed in writing.

Once the agreed professional fee has been paid, you receive permission to use the drawings and documents for the agreed planning application and the associated project.

The drawings must not be resold, reproduced for unrelated projects, or materially altered and represented as Easy Architecture's work without permission.

13. Responsibility and limitation

You are responsible for the accuracy of the information you provide.

Easy Architecture is responsible for producing its own drawings and documents with reasonable professional care.

Structural matters are the responsibility of the appointed structural engineer.

Construction and setting-out accuracy must be verified on site before construction begins.

Planning decisions remain the responsibility of the local planning authority.

These terms do not attempt to exclude or limit Easy Architecture's responsibility for its own professional errors or negligence.

14. Complaints

If you have any concern about the service you have received, please contact Easy Architecture directly in the first instance so that the matter can be addressed promptly and fairly.

Easy Architecture will acknowledge your concern, investigate it, and respond to you as quickly as reasonably practicable.

15. General

Easy Architecture may update these terms from time to time. The terms applying to your project will be those in force when your fee is paid and the work is agreed.

If any provision of these terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.

These terms are governed by the laws of England and Wales, and any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales.
